The organisation administration forms the basis for all subsequent master data. Here you have the possibility to centrally manage your own organisation hierarchy. When the customer account was created, a so-called master organisation was already automatically created, too. This can not be deleted. In addition, further subsidiary organisations can be created as desired. In general, there is a distinction between three types of organisations:
Each organisation can later be assigned further master data objects such as vehicles and drivers.
Here is a schematic of a possible organisational structure that could be created in this way:
The following steps are required:
First you have to log in to our CARSYNC portal. To do this, use the e-mail address you selected for registration and the personal password as your individual access data.
2. Set account name
In the first step, select the tab "Organisation" in the menu under "Home" -> "Settings". First enter the account name. This can be the name of your company, for example, but it can also be a fictitious name, as this is not the legally correct company name. Then click on the green button "Save".
3. Maintain master organisation
In the list below you should already be able to see your parent organisation. If you want to maintain detailed information about it, simply call it up by clicking on the line or on the right via the dots and "Call up". Further steps are explained in section 5.
4. Create organisational structure
In the list below you should already be able to see your parent organisation. If you would like to create additional subsidiary organisations, start creating a new organisational structure in the next step by clicking on the green button "New organisation".
5. Fill in information
First enter the name of your organisational unit and then follow the requirements for creating your company structure such as IBAN, UstID or tax number field by field. Those fields marked with an star are mandatory to complete in order to create the transaction. Click on the lower right button "Create" to complete the process.
If you create a subsidiary organisational unit, select the corresponding parent organisational unit in the "Parent organisation" drop down accordingly.
Note: You can only create certain organisation types below others. e.g. it is not possible to create companies below departments. If a combination is not allowed, an error message will inform you.
Once you have clicked on "Create", you will return to the main menu and can now call up the information on your subsidiary organisational unit under the three points on the right in the organisational profile.
- Delete organisations
To delete an organisation, you have to click on the three dots on the right side in the organisation profile and select "Delete" from the drop-down.
Note: Organisations can only be deleted if no master data (e.g. vehicles or drivers) are assigned to them. You can tell whether drivers or vehicles are still assigned to the organisation if you receive the following error message after trying to delete it:
