Are you using CARSYNC and would like to manage your processes in ECO? Would you like to precisely document the individual steps of your fleet management, such as ordering processes, renewing a contract, returning vehicles or ordering fuel cards? We will show you in a few steps how to create, manage and edit these so-called processes.
1. LogIn
First you have to log in to our CARSYNC portal. To do this, use the e-mail address you selected for registration and your personal password as your individual access data.
2. Overview "Open" processes
Once you are logged in, select the "Process Control" tab in the left-hand side menu. This will take you to the main overview of all processes, both open and completed (not to be confused with the "Appointments" tab!). In the "Open" tab you can view all open processes, which can be further filtered by vehicle registration number, driver name, title, administrator and due date status.
3. Overview "Completed" Processes
Select "Completed" from the two top tabs to view all processes that have already been completed.
4. Creating a new process for a vehicle
Select the green button "Create new process" in the top right corner of the main overview. A pop-up window will now open. Here you can select whether you want to create a process for driver or vehicle.
If you have decided on a vehicle process, enter the registration number of the chosen vehicle for which a process is to be created.
You have the option to choose between a user-defined and a non-user-defined process via the slider in the pop-up window. If you decide not to create a user-defined process, enter the title of your process, e.g. "Vehicle Order Leasing". Click on the "Create" button to create a new process.
5. Define individual process steps
Once you have created a new process, you can now create individual process steps for your "Vehicle Order Leasing" process.
By clicking on the green button at the top right "Create new step" you can create another step (another subtask) for your process. A pop-up window opens to specify the details of the step. By specifying the index number, you determine where in the sequence of the individual steps the new step should be placed. Index 1 places the new step at the top, etc.
6. Create a new process for a driver
Just as you can create a process for a vehicle, you can also create a process for a driver. To do this, click on "Create new process" in the process control overview. Then select "Driver" from the drop-down menu. Now select the driver for whom a process is to be created. Then decide whether it should be a user-defined process or a process based on a template. For a user-defined process, you then give the process a title and can add further details under "Detail". To complete the process, click on "Create" at the bottom of the form. Now the new process appears in the overview.
7. Add documents
As in other areas of the ECO software, you can also add documents to your processes. To do this, select the tab "Documents" in the overview menu "Process steps" and click on the button "Add document". Now a pop-up window opens in which you can enter the relevant details and upload the document (here, as an example, the application for a resident's pass). Documents can also be assigned to processes. Then click on "save" to save the document.
The uploaded document is then displayed in the general overview.
