Are you a CARSYNC user and would like to add a ZB1 to your documents and create a new vehicle/driver? We will show you in simple steps how to carry out this process in ECO.
1. LogIn
First you have to log in to our CARSYNC portal. To do this, use the e-mail address you selected for registration and the personal password as your individual access data.
2. Add new ZB1 to documents
First select the item "Document entry" in the left margin menu. Here you will get an overview of all documents uploaded so far. These can additionally be filtered by "Name", "Document type", "Progress" and "Created on". To add a new document (your ZB1), click on the green button "Add document".
Now a pop-up window opens for the file upload. You can select a file either by dragging and dropping it onto the document table or by clicking on the button "Upload documents". The document must be either a PDF or an image file.
After you have uploaded your document, click on the green button "Create".
he automatic document extraction via AI (Artificial Intelligence) now starts by itself and both the status of your document is displayed as "Extracted" and the progress is marked with a green tick. Now click on the line of your document.
Here you can see which data has already been automatically read out from your ZB1 and for which areas information still has to be entered manually. The fields marked with an asterisk MUST be filled in to continue, all other areas are voluntary. Once you have filled in all the mandatory fields, click on "Continue".
n info window will now appear to verify your details and inform you that you can now also create a vehicle for the ZB1. Now click on "Ok".
You can double-check all the fields you have filled in.
3. Create new vehicle from ZB1
Now click on the green button "Create new vehicle from extracted data".
A pop-up window appears, which has already filled in the information from your ZB1. Additional information that is not contained in the ZB1 but is necessary for the creation of a new vehicle can now be entered (e.g. organisation affiliation). Fleet information and other vehicle details are also requested.
After you have entered all the information, click on the green button "Create".
Now your vehicle appears in the main overview "Vehicles".
4. Assign a newly created vehicle to a driver
If you want to assign a driver to the vehicle you have just created, first call up the profile view of the vehicle by clicking on the vehicle in the list. Select the "Driver" tab in the main overview. Click on the green button "Assign driver".
Now a pop-up window opens for the driver assignment. Select the desired driver from the drop-down menu (in this example, Erika Musterfrau 3). You also have the option of setting a fixed start or end date for your assignment and adding notes. Then click on the green "Save" button.
The newly assigned driver now appears in the overview and you have successfully assigned a new driver to your vehicle. If a vehicle changes drivers, you can set the active assignment to inactive by entering an end date for the assignment that lies in the past. If you want to delete this assignment again, click on the three dots on the right edge in the driver line and click on "Delete".
NOTIFICATION:
It may happen that a document is not recognized at first go. In this case, click on the line of the corresponding document that has the status "Failed".
Here you can view the uploaded document together with the red marked note "The document type is unknown. Please select a suitable type". Now you can select the appropriate document type (in your case ZB1) in the drop-down menu. Click on the green button "Next".
In the next step, a note first appears stating that document processing via AI has been stopped.
However, you can trigger this again by clicking on the button "Restart automated process". The AI then tries to recognize the fields again.
